Before your bell staff is able to use the app, you will need to create a user name and password for them using the messaging window. You may not enter a new bellperson here, you will first have to enter them using the bellpersons window. To create a user name and password, you will need to log in with a user whos level is high enough. Simply select a bell person in the data grid, enter a user name and password(both at least 6 characters, including at least 1 number and letter), and choose the type of device they use (although the app only supports android at this time). Click Update User to save the new user name and password for that bell person.
To send messages to your bell staff, open the messaging window and log in. When you log in the data grid will contain a list of your bell staff. The rows that are green represent the bell persons who are signed into the app and can receive messages. To select the bell persons that you wish to send the message to check the check box to the right in the data grid with the column header Send Message. Now enter the text of the message, and click Send Message. The window will update with a message showing you each bell person that the message was not sent to, if any. To update the data grid to see who is currently signed in click the Update who is signed in button.
To log in the bell person simply needs to enter the user name and password that was created for them, their employee id and the Bell Desk Insight Id. The Bell Desk Insight Id for your program was included in the database credentials file along with the installers for the program. Then then just nee to click Log In. When they are done for the day, they can log out using the Log Out button, but that is not required. When logged out they will not be able to receive any messages.
After the bell person has logged in, they will need to get their available activities. They need to simply click the Get Activities button, and their screen will update with the message that the activities have been set. To change their current activity just open the drop down box to see their activities. Select a new activity, and click Change Activity. If their activity is changed, they will see a message stating the new activity and the time it was started.
When a front is entered in the Bell Desk Insight program and the bell person whos front it is is logged into the app, a message will be send to the bell person stating that fronts are available for the bellperson. The bell person simply needs to click Get Fronts, and the first available front for the bell person will be loaded into the app. If you allow your bell persons to take more than one front at a time the app will ask if they would like another front. If they click yes, the next front will be loaded into the app. The accepted fronts will then be removed from the fronts waiting data grid in the Bell Desk Insight program.
